Do you also feel the asthenic vibe of the approaching winter??❄️

With capital city traffic, quite a lot of fog in the morning and two or three seasons during the day, cold nose when you get to the office and full coffee or tea. It’s clear, winter is coming.

Word is circulating around the Universum office about this winter’s trends, that we have them, that we don’t have them, that we seem to be a bit tired of them and that we prefer to be unique… so a little jotting down of ideas surely helps.

It is not difficult to see how events support the development of the company. ?️‍♀️?

Claaaaar events strengthen relationships between people. They can relax the atmosphere in the team and turn it into a cool one, they strengthen the relationship between colleagues, the relationship with partners and/or customers and give us reasons to continue development. Regardless of the field in which we work, end-of-year events are the best opportunity to celebrate results and set plans for the future.

Whether we’re talking about awarding people or talking about events between companies, activating a brand or changing the thinking of a team, all opportunities to generate networking must be fruitful. When all trends lead to digitization and all-around technology, then we invest more in face-to-face networking opportunities. ?? ??‍♀️

We tend to lose contact with those around us when we are assaulted by technology, at home or in the office, on the road or at events… we feel the disconnectionstep by step. That is precisely why we emphasize, in every event, the experience of the participants. In the event industry, trends come and go, especially winter trends. ?☃️

Because we’re talking about networking events here, and because we’re saying Winter is coming more and more often, we’re blogging the most important ideas for this winter. Winter events are best thought out in the spring. And no, it’s not early at all! Because the availability of some locations is not an element to be neglected. So we suggest you follow this “trend” every year.

Namely: reserve your location in advance. ⏰

Also, consider the days of the week. Why? They bring super flexibility for you at the location, you have lower costs and the guarantee that no one puts pressure on you with other events held in parallel. Pluuuuus, you have every chance to have a lot more people come to your party than on the weekend (because in the winter we tend to go out more and more often…:P).

The event coordinator is like the wedding planner. ??‍?⚖️??‍?

You clearly want a stress-free event! You have time to drink, have fun, socialize with all the colleagues you don’t see very often. Beyond that… the dedicated project manager probably has more experience managing the event than anyone in-house. Trust and hire a company specialized in events to take care of every detail for your party. And contrary to what the world says in the market, the investment in the event is guaranteed to be much more cost-effective because… well… the experience in events brings advantages of its own. 😀

If you want to give for Christmas, do it! But don’t forget to help the rest of the year too! ?

Or whenever you have the chance? When we talk about humanitarian campaigns in winter, the world tends to activate instantly. Go for gift drives, fundraisers, landscaping and the list goes on. There are a multitude of ways in which companies can increase humanitarian efforts, contributing to local, national or global sustainable development.

Events that include CSR components are extremely important because companies generally have a lot of resources to make real changes. In addition, consumers sense when a company is doing something that makes a real difference and is fair to everyone, regardless the cause.

So don’t be afraid to propose social responsibility components in the events you create. What’s more, see the article that I wrote some time ago about the benefits of CSR in organizations and let us know when you want to help! 🙂

Inspiration is right in front of us. ?

We don’t shy away from staging themed parties inspired by movies, important events or events that have an impact, either nationally or internationally. This winter we come up with more and more original ideas, obviously customized for the location, the number of people and the budget we have. And as an idea, in addition to the various themes, this year we also believe a lot in the simple Christmas theme. When was the last time you went to a Christmas themed… Christmas event?

A theme is not just a name! ?

We are convinced that we can get all the butter out of a concept regardless of the work palette. There are all kinds of effective (and sometimes not very expensive) solutions through which you can use a party theme head-to-head: the well-known props (or props), the decoration and background from photobooths, the presentation and elements from the candy bar, visuals, decorations and lights that help you completely transform the atmosphere of a location. How can you make your event more efficient in 3 seconds?

If your impression was that you are opening another article about how you can revolutionize the world in three seconds by purchasing our product, then you will be pleased to know that no, this is not the case (so you can continue reading in peace :D).

The fact is that we cannot change the evolution of your world, but we can guarantee to influence it by making your event more efficient. From the very beginning, our goal has been to save you from wasted time, worry and hassle. And we say this because we tested them all and went through multiple situations until we found an effective solution that integrates the entire end-to-end management process of an event.

When you work in the events industry you run into mammoth situations that turn into mutants that need to be resolved quickly. We’re honest… and anyone who’s organized a B2B or B2C event at least once knows what we’re talking about here. an #Unspoken brand activation

It’s probably not often that you can say that you have unlimited possibilities to achieve something. But we are ambitious every time we talk about events.

I was talking last summer on the blog about how important brand activations are for the company’s image and which are the most interesting directions experienced by us within the events created under the #theUNIVERSUMexperience brand.

We return to the small screens and talk about the importance of brand activations at a festival. ?

Regardless of the season, there are constantly events that attract thousands, tens or hundreds of thousands of participants from the general public. Depending on the target audience of your business, whether you are HR or Marketing, festivals with a large number of participants can bring a huge return to the company. And sometimes it can be a much better idea to invest more in activations. 🙂

The festivalgoers, who are hundreds of thousands at this festival, crossing the boundaries of the event have one goal: to have fun. Make the most of it has become a slogan used more and more often among the festival audience, and we prove them right :D.

Probably the first and most obvious lesson in brand activations at a festival is not to sell the customer your raw product. He doesn’t want to sit around and hear about injectors, personal loans, hops and malt, or what percentage of the population consumes gluten. He wants to have a lot of fun, interaction, and if he experiences something at the same time, so much the better.

Recently I was in the heart of Cluj, at the Untold.

We brought the park to life and energized the participants in a story context (as the festival promises with each edition). We took the stake as such, and relied on interaction and lots of fun. MUCH FUN. Said and done. Less than two months before the event, our colleagues, Cătălina (Business Development Manager) and Eliza (Project Manager) got to work. And together with our client they started the action plan for the festival.

It was clearly about one activation, maybe even two or three. And there were four in the end. Our basic idea was Feel the human energy at UNTOLD! With ENGIE you have renewable energy sources. Both at the festival and at home, appealing to the responsibility we have towards the environment.

Starting from the premise of using renewable energy, we launched the challenge to the participants to generate their energy in the most natural ways: through sports, dancing and especially through relaxation. A month and a bit of sketching and production, plus a day and night of editing, resulted in:

It is clear that we could not prevent the major causes, but action had to be taken against them. And especially in the context of a summer rain that cooled the Central Park in Cluj. It was probably the biggest impediment I encountered in the 4 days. It was clear that we had to prepare for any type of weather but we were clearly hoping that it wouldn’t rain constantly during the activation. Because the capricious weather was taken into account, the team prepared with super branded capes waiting to be used. Although two to three weeks of implementation was quite a tight time, I went through all the actions one at a time, leisurely. Again, the most important lesson for me was, the team. Proactivity, presence of mind, flexibility, availability, involvement, care, attention to details. How beautifully Eliza tells us :).

As I wrote at the beginning, the focus on the interaction between the finished product and people seems to be the most important aspect.

This and in the context where the activation must be perfectly combined with the theme of the festival and especially with the venue. We combined the park and the relaxation area with hammocks and poufs. We combined the fun of the interactive stage with the production of energy. And we combined cycling with lighting. Thus, during the four days of the event, 2,673,332 Joules (over 31,000 watts) were produced from the three prosumer activation zones.

For both the customer and us, the tens of thousands of attendees interacting with the stand are probably the best feedback.

Company and product promotion (activation stakes) aside, it’s critical to keep the customer’s needs in mind when implementing them. No matter what industry the product or service we’re promoting comes from, whether the activation nurtures, relaxes, energizes, tests your general culture, introduces you to new technologies or helps social causes, when we talk about brand activations at festivals it’s all about what’s at stake be on networking.

Sometimes pictures are not enough.

It means that if until five years ago we were doing it as well as we could, with all the resources on the table, for five years we have been doing it at another level, with an international validation that what we deliver cannot yes wrong And we are constantly improving, because the shared experiences we have and globally tested methods help us evolve in any event implementation.

 

 

It means that in the business environment, which is increasingly dynamic, we place more and more value on values such as team cohesion, employee motivation and the most efficient use of internal resources. Organizational culture is one of the key factors that matter in the success of a company, and team building activities are gaining more and more ground in its consolidation.

 

 

Itmeans that through the values we promote and implement further, we have become among the most important event organizers in the CEE area, and among the 25 European partners, we welcomed with open arms the proposal to organize the European meeting in Bucharest.

 

 

Thus, between July 8-12, we started the CATALYST EUROZONE 2019 European conference.

For four days, 60 international members of the Catalyst Global Team Building network from over 25 countries both in the CEE area and around the world they shared good practices and relevant experiences in organizing corporate team cohesion programs. It can be overwhelming when so many global partners gather at a European conference, among other things, to discover the secrets of Romania and our team. We are talking about South Africa, the United States of America, Tunisia, Azerbaijan, Australia, Dubai, Israel.

 

 

We divided the whole experience into five intense days, full of experiences and specific know-how related to the implementation of the programs, from a logistics, marketing, sales or deployment point of view, combined with the discovery of Bucharest and the promotion of our Romanian values and culture.

From conference days at the Hillton Garden Inn, to a Go Team through which we discovered places unknown to us in the heart of Bucharest (a few of us being from Bucharest getbegét) , from summer evenings spent with the whole gang of participants on the terraces that offer some of the most beautiful views of the city, to kayaking on Lake Snagov and receptions with the procession to Romanian rhythms.

Because we don’t often get this opportunity and we wanted it to be memorable, we ended the conference week with a quartet concert, staged on the terrace of Lagoo. This collaboration was realized with our partners with whom we organize every time, with love, the concepts of team building Orchestrate and Crescendo.

– You have previous experience in sales/account management, preferably in events (BTL, M.I.C.E.)

The life of a Project Manager: a kind of love-hate relationship

From marketer and finance specialist, to a successful Project Manager within Universum, Sabina’s career embraces the position of M.I.C.E Division Manager starting in April 2019.

The collaboration between Sabina and Universum started about three years ago. Three years in which the foundations of amazingly beautiful projects were laid and friendships were made that ensure the cool and united atmosphere within the division. I caught her right at the threshold of the project but because such an opportunity could not be missed, I took Sabina for a coffee and told a little about how the last few years have been as a Project Manager and how she maintains her energy and passion at maximum odds.

We started with what M.I.C.E. means. really and what is so special about this field.

Well, by definition M.I.C.E. means Meetings, Incentives, Conferences, Expo…but beyond that, M.I.C.E. it’s about people. About the experiences you create for the participants who are in the event, about the experience you create for the client throughout the duration of the event (from implementation to follow-up). M.I.C.E. it means creativity, lots of creativity and maybe even more attention to detail.

We know that the life of a Project Manager is not exactly simple, that’s why we want to know what it’s like to organize projects? From the smallest to the largest.

It’s a kind of love-hate relationship:)). There are many moments when you feel that you have reached your limit and that you can’t go any further, moments when you say “I’m done, I’m giving up!” After that you overcome another difficult situation, you implement another extraordinary project and you want more and more. It may sound extreme, but it’s an addiction that builds. The life of a Project Manager brings you an adrenaline rush that you are constantly looking for and that you miss during the quieter times of the year.

Not infrequently, projects are real challenges, especially because we like to invent new concepts, with even more novel ideas… which are the biggest challenges that you have met since coordinating projects within Universum Events?

Generally, in events, I think the biggest challenges are perfectionists. It is true that… those who want to be in absolute control and know absolutely every detail do not necessarily have an easy life :). #viata_la_Universum taught me above all that not everything is about me, that not everything can be controlled and that trust in the people around you is the best thing you can bring to a project. I think that’s the biggest challenge I had (and still have sometimes) – to relax and trust the team.

Sabina, how do you get along with the whirlwind of daily activity? ?

Hard :))) Multi-tasking is one of the essential qualities that a Project Manager must have. There are days when I manage to stick exclusively to the to do list that I make every morning and days when I can’t get through it anymore. But prioritization is important, and I never abandon a to-do, even if it’s not a priority or it’s been a few days since I put it on the list. I learned that you can leave for tomorrow what you can’t do today, but do it!

What are three professional/personal ingredients that have helped you evolve as a professional in organizing large-scale events?

Curiosity, ambition and listening. I have always been curious to understand what happens in events and, above all, why. And that helped me to get involved in a lot of projects, ask a lot of questions, sit next to colleagues with more experience and see how they do things and get involved in all areas of the events, without thinking if I can. And I learned that I can 🙂 I also listened a lot – how those around me are doing, the recommendations and advice I received, the answers to the questions I asked them. We listened to customers and participants so that each new experience we create is better and better.

We know that in the life of M.I.C.E. there are dozens of projects per month and hundreds per year. Tell us about the dearest projects you have coordinated and which have remained close to your heart.

There are many 🙂 Very many. There are projects that are dear to me due to the complexity and challenges they present to me, or in which the clients are extremely dear to me. But I remember best the projects at the end of which I feel that I have grown a little more, that make me say “I didn’t know I could do this!”

We have been significantly increasing our team for a few months now and the M.I.C.E. projects division. no exception? . Because it is a dynamic and extremely challenging environment, what are three recommendations you would give to those who want to enter the events industry?

To understand that beyond the glamor and fun that is seen on the outside behind is a titanic work. It is a sustained effort every day, because the most dangerous is relaxation. That moment when you think you know it all, that you have thought of every aspect and that nothing can surprise you is exactly the moment when this industry comes and gives you a shot and shows you that you could have done better. And it’s important to understand that there is always room for improvement and that learning is continuous. And let them be open 🙂 The events are not for those who are looking for “the easy way”. But I dare say this field builds some of the strongest people. So all this effort is worth it!

We have implemented the idea of constantly growing and never stopping learning, always improving the services we offer and how we act in any circumstance. We know that you love to read a lot, and surely some readings have influenced you to develop personally and professionally. What do you recommend?
