The success of an event lies in an extraordinary mix of people and the effort put in by an entire team. In the first part of the mix, namely people, the MC also enters. So, how do you ensure that these efforts are crowned with maximum results for your company?

Once the recruitment and selection process is over, many recruiters fail to pay attention to young people during the development of the internship program, which does not end well for either party.

Here’s what you can do instead, so that they become ambassadors regardless of whether or not they continue with a job within the company, and the internship you offered is a truly valuable one.

#1. Connect them with the external environment by offering them a solid learning process. As long as the position is entry level, it is normal for them not to have a lot of technical knowledge, therefore your duty as an employer is to keep them up to date with the learning opportunities on the market. Extra-budget or extra-effort?

When we draw the coordinates of an event, together with its main beneficiaries, we negotiate a lot of aspects of the event, from the location, catering or the technical rider, to decoration elements, activities, the agenda or the concept of the event. Therefore, we notice every time the fact that events are complex systems, with many “moving parts”, many of them right up to the last moment.

Many times in event management, the difference is made by the project team, as well as their collaborative relationships with the main partners involved in the event (representatives of the location, catering, technical, etc.), but also the relationship with the client’s representatives. In this system, each party wants to maximize the benefit obtained, for example: the location wants to include in the offer as many services as possible; catering seeks to grow in quantity rather than in variety; the client needs as many impact elements as possible; the technique promotes as many lights as possible, etc. It is the duty of the project team to coordinate all these pressures in favor of the client.

Taking into account all these “moving parts”, it can often lead to the conversation about supplementing the budget for the event. In this conversation, it is usual for the client’s representatives to question this need and to negotiate either the inclusion of extra elements in the existing budget, or finding other solutions to fit within the budget. The role of the project team is to balance all the interests present in the organization of the event and to communicate as clearly as possible to the client the impact of each decision.

We have had several occasions in which the benefits of a constructive conversation that causes the need for extra-budget for the realization of the intended event have been confirmed. Sometimes, these conversations help everyone involved to better understand what the event’s objectives are, to prioritize the really important elements and to communicate more clearly. Other times, even if they are rarer, these conversations give rise to unconventional solutions in which “more is obtained with less”.

The extra effort of the project team, on the other hand, is “used” all this time. Not only by finding (or at least by searching) the best customized solutions, but also by the long-term management of all partners. It is a common case that certain event organization agencies obtain preferential quotes from other suppliers, as a result of the quality relationship between the two parties. All these factors influence (even directly) the budget of an event, being included in the extra effort of the project team.

Organization agencies of truly valuable events must, in principle, give the extra effort necessary to maximize the impact, this being visible and appreciated by customers. At the same time, we encourage constructive negotiations when the extra-budget problem arises, but it is also important for clients to understand the value they are buying with a certain budget.

Where Does Self-Confidence Come From in the Office?

Comfort and performance are directly proportional to the level of self-confidence, even in office life. Now some ingredients of success are no longer secret in situations where you want the people you work with to master the situation in order to fully contribute to the common goal.

It often happens that we lose our attention or power of concentration or even energy because we could not visualize the final goal and did not understand exactly what is the personal contribution to it. Constantly ensure that team members can see the success of the whole group beyond individual success, to eliminate any need for destructive competitiveness and replace it with mutual encouragement.

  • How much do they know how to collaborate?

In order to advance a collaboration, in the first phase, knowledge is needed. From the position of a team leader, you have the responsibility to create knowledge environments for the team so that they can later collaborate and support, environments of the type team building.

  • How easily do you give the chance to make decisions?

The final responsibility over a fact or the authority over a situation, generally determines people to allocate maximum energy and concentration to cover the need, implicitly to obtain the best result from the available resources. Practice such situations regularly, through a less obvious rotation and give people support, but also the confidence to take risks. Situations with surprising results are those when solutions or ideas appear that you would not have thought of.

Mistakes should be recognized, accepted, aiming to avoid them, and the performance recognized transparently, but also punctually, so that it can be transmitted and retained easily as good practice, but above all to provide the feeling of satisfaction after an effort. While in some situations, material acknowledgments have a greater effect, there are cases where sincere appreciation can weigh heavily.

He repeats the test every 4 months, symbolically, for 1 year and analyzes the results. Numerous exercises of this kind, applied in different teams, have demonstrated an increase in self-confidence, automatically generating the reduction of frustrations and negative energy in a team.

As we announced at the beginning of the year, among the main trends of the current year are increasing creativity and innovation at work, as well as involving employees in more experiences, not just events. Building on this philosophy, we add to our list of business simulations a new experience that we are proud to promote among our clients: FreshBiz !

First of all, we like business simulations because they are more powerful than a classic training , of the hall. Experience shows us that the participants learn new behaviors much more easily through these simulations, because they not only provide theoretical benchmarks, but also create “muscle memory” among the participants. Thus, the participants do more than just listen to some new ideas: they are involved in a simulation in which they are responsible for their own result.

The participants of a recent event, in which we included the FreshBiz experience in the agenda, rewarded us with several learning points, among which we note the following:

  • Collective learning is a much accelerated process

We liked the powerful moment when one of the participants declared that he now understands and practices this concept that we had presented (on a theoretical level) at the opening of the experience: accelerated collective learning. Even if the team members do not fulfill the same role, learning from each other is very beneficial for the individual, allowing him to reduce the degree of risk of a decision, by using the experience of others as a benchmark, or to come up with creative ideas, building on other unrealistic or unsuccessful ideas of others, to give just two examples.

How do I attract big names to my event?

Following the events we organize together with our clients, the participants repeatedly demonstrate to us that they remember two or three key moments from the event (not always the same, for everyone). These memorable moments are represented either by a new experience, to which the participants are exposed (whether we are talking about an activity or a new setup of the event), or by the interaction with a valuable personality, whom they did not have the opportunity to meet live

Because until now, we have debated several times the ways to create an experience for the participants, and not just an event created according to the mold, now we are also focusing on the way in which we can attract outstanding personalities within the events, dispelling the myths on which we have heard so far:

“I don’t want a personality, because they are too expensive!” It is normal for famous speakers to be more expensive than those no one has heard of. Also, it is normal for foreign speakers to be more expensive, because they usually come to the Romanian market, having higher references from other European markets.

More important, however, is the fact that most of the really important (and valuable) local personalities, in particular, are less mercantile than they think. We know, every day, outstanding personalities who are rather interested in how their moment (be it a speech or a short artistic moment) integrates with the rest of the event. They are more interested in the message they are sending and what potential effect it has among the participants, than in the budget. The motivation is quite simple: to become someone truly respected, you must have an impact on the people who listen to you!

“I can’t risk him leaving during the event, after he finishes his time…” And this is a legitimate fear on the part of the event organizer, but this too can be remedied with better planning of the event and a integration in the agenda and in the central concept of each moment in the agenda. Personalities are also participants in the event, and in the experience prepared for the participants, they must also be integrated. Thus, by including them, organically, in the event, but also by exposing them to new experiences, we ensure their commitment throughout the duration of the event.

Exclusivity attracts exclusive personalities! Although it sounds like a tautology, this principle is very important in thinking about an event. From the importance of choosing the location, to defining the agenda and how the communication materials of the event look, they are all indications of how exclusive an event is. Attention to details attracts!

Ensure the real confirmation of the presence of the personalities. Especially if the personalities are invited to be participants in the event, and not speakers, then it is imperative to obtain both the official confirmation, in writing, and and the verbal confirmation of each concerned person. In this direction, using a team of event ambassadors can represent an important advantage for organizers.

In conclusion, among the most important lessons we have learned is that each of us (more or less known) wants to show off his strengths in public, being more reluctant to share weak points. For this reason, both the choice of big names and their integration into the event is a big challenge, which must be treated with great care.

A 10 season

In the events industry, the spring season means weekly events. This year we enjoyed whole weeks with parallel events, experiences that even took us beyond the borders.

In the months of May and June we played “away”. It was a beautiful game, full of energy in which I scored a 10.

On June 13, Marius Blajut, one of our Project Managers, was putting together the last details before leaving for Poiana Brasov where he would organize an experience of Military and an adrenaline-filled race of Flat Out Formula 1. The weather was with us, the participants enjoyed an energy that continued at the party.

From Poiana Brasov, the team gathered in Sinaia to create a unique experience for participants with the help of Orchesstrate, In the Picture, Big Picture , Push It and a super party NEON. Below is a summary of the event seen through the eyes of the participants:

The whole experience is impeccably built with the Universum team:

  • starting from understanding the brief to understand the need and then build conceptually
  • advice on completing the concept with all the details that make the difference for colleagues who felt like stars
  • event facilitation
  • and the activities carried out together with them are still told to the classmates who could not participate in the event.

The best feedback for this experience comes from the thanks we receive from colleagues for the inspiration to work with them, from the discussions after the event in the hallways, in the kitchen, from the impatience to see the photos and videos from the event and, above all, from the number of updates on Facebook during the breaks between the event’s activities.

Throughout the spring-summer season, we had the friends from Continental Automotive Romania who sent us their energy weekend after weekend through the activities Mini Olympics and FlatOut Formula 1 .

Towards the end of the season, we enjoyed a sporting experience with none other than Adidas Romania. We can say with our hand on our heart that it was a synergy that infected us as well:
