When our Account Managers build the attendee experience, they take every moment of the event that the attendee goes through and put every detail in place - from the first email with the Save the Date, to the MC, catering and technical team.
We like to do things differently and this has always been appreciated by both client and supplier. Here are the main pillars of an event and the impact of each on the success of the event.
Communicating the event
We know it sounds classic, but communication is the key to absolutely everything. And by “everything” we also mean the success of an event. It is very important that the participant is constantly informed about the event. Save the Date is essential to ensure your participants' presence. Subsequent updates - the final details of the event, communication during the event through the various networking applications and, last but not least, post-event communication - in which it is advisable to ask participants for feedback, provide them with pictures and a wrap-up video of the event, these are designed to increase participant engagement.
Technical Team
Have you wondered who is behind that impressive projection, that giant screen or the lights that blend perfectly with the atmosphere of the event? It's an entire technical team that gives you a unique experience and brings you face to face with technology. This team is there from the first minutes of setup until after every participant has left the event. It is a team that has tremendous energy, is attentive to detail, communicates continuously with the implementation team.
Implementation Team
When we say Universum we say energy, and we don't say it, our clients say it. The implementation team makes sure that every detail presented in the design of the event experience happens as it should. Depending on the size and complexity of the event, the team can consist of 5, 10, 30 or 50 people. They have different roles: Project Manager - the one who has the vision of the whole event, Catering Responsible, Location Responsible, Technic Manager, Technical Manager, Teambuilding Coordinator, Communication Responsible, Logistics Coordinator, Photographers, Cameramen, Activation Providers or other functions specific to the type of event.
Activities in Event
The MC, speakers, intro video, photobooth, intro moment, brand activations, teambuilding activations, product stands and demos, VR, singing waiters. The event activities are interdependent with the theme, type and purpose of the event.
For example, if it's a company anniversary event the successful formula can be: Intro Video + MC + Photobooth + Orchestrate + Party, or if we are talking about a Sales Conference we can combine with the theme of the event a Digital Dance Intro with MC, Speakers, Brand Activations, wrap-up video and a cocktail party.
Location
As in any type of event, the location plays a primordial role. If the space is too small everyone will feel cramped, on the other hand if there is too much space it can create the feeling of empty space.
For us, as organizers, it is important for the venue to be as malleable as possible in the way the setup is done. From the decorations within the venue which can be of great help or sabotage you, to the space - if for example it's a bigger room but has modular walls, you can juggle the space very easily.
Another important aspect is the distance to the location. If the location is central, this is the ideal scenario. However, if we are talking about a location outside the city, participants must be provided with transportation from a central location to the event location.
So, as we mentioned at the beginning of this article, we like courageous events, those that challenge us because we know that a challenge can only result in a unique experience for each participant. And, without challenges and change, you cannot evolve.
